Setup guide
Five steps, and the order matters: you cannot assign salespeople to offices that do not exist, or limit a manager to a branch you have not declared yet. It takes about ten minutes.
Before you start
On HubSpot plans below Professional there are no teams, and deal pipelines are capped at two. For a company with three branch offices that means nothing in the CRM can say "this deal belongs to Milan", so every salesperson sees every deal. HuntLog reads the portal, attributes each deal to a branch, and issues quotes with a per-branch numbering series.
You need someone who can install apps on your HubSpot account: a Super Admin, or a user with App Marketplace Access. That is HubSpot's rule, not ours — nobody else can authorise an app to read deals. Whoever completes the install becomes the owner of the HuntLog account and decides who else gets in.
1. Connect your portal
Press Connect your portal. HubSpot lists the permissions being requested and asks which account to install on. Authorise, and you land back here already signed in.
The first sync starts immediately: within seconds you should see deals, products and pipeline stages on the page.
2. Create your branch offices
A branch is a short code and a name. The code is not cosmetic
— it goes into every quote number (MI-2026-014) and, once used, it
never changes.
Pick something short and recognisable over the phone: MI,
RM, NO1. A branch can be archived when it closes; its
numbering series stays readable and exportable.
3. Assign salespeople to branches
This is what decides who sees what. The Commerciali ("Salespeople") page lists every deal owner pulled from HubSpot: state once that Rossi works in Milan, and all of their deals, past and future, attribute themselves.
You can assign several branches to one person — that means "this person covers more than one office", and their deals then stop being attributable from them alone.
If your portal already has a custom sede ("branch") property on
deals, that wins: a human wrote it on that specific deal, which beats any
inference. The value has to match the name or the code of a branch declared
here.
A deal that neither rule can place stays unattributed: the owner sees it, the wrong branch manager does not. We would rather show a visible gap than invent an attribution.
4. Recalculate
After changing the mapping, press Ricalcola sedi ("Recalculate"). It works on data already held — no round trip to HubSpot — and is instant. A counter at the top of the page tells you how many deals are still unattributed.
5. Grant access to managers and partners
Three roles, differing only in what they see and what they can issue:
- Owner — every branch, including ones opened later. The only role that can connect the portal, manage branches and grant access.
- Branch manager — the branches assigned to them and nothing else. They see their branch's quotes even when a colleague is away.
- Partner — the agency that set up your HubSpot: reads everything, issues nothing, revocable in one click.
You can invite someone before they have an account: the invitation is matched on their first HubSpot sign-in.
How data is kept up to date
The sync runs on its own every night at 04:00 UTC, covering deals, owners, products and pipeline stages. Sincronizza adesso ("Sync now") does the same on demand.
A deal deleted in HubSpot disappears here too. Owners do not: HubSpot keeps archived owners, and dropping them would strand every historical deal that still names them.
What we read, and what we never write
The connection is read-only. We read:
- deals — name, amount, stage, pipeline, close date, owner;
- owners, including deactivated ones;
- portal users, to recognise who signs in and who is an admin;
- the product catalogue, to build quotes;
- pipelines and stages, to show the right labels;
- contacts and companies associated with a deal, only when that deal is opened.
We write nothing back to HubSpot: no properties, no deals, no notes. Quotes live in HuntLog.
Disconnecting
From the main page, Scollega il portale ("Disconnect"): we revoke our credentials and uninstall the app from your HubSpot — you will get HubSpot's own confirmation email. Uninstalling from HubSpot's connected-apps settings has the same effect.
Synced data and issued quotes remain readable, because they are yours to consult. Ask us and we delete them: info@huntlog.xyz.
Trial and price
Every connected portal starts on a 14-day trial, no card required. When it ends the sync stops and the data stays readable — nobody loses quotes they have already issued.
After that it is €350 one-off plus €100 per year, excluding VAT, per HubSpot portal and not per seat.
